Honorarium and Expenses
As event hosts, you agree to provide an honorarium and cover costs associated with Ms. Harper’s travel to and from your event.
Ms. Harper attempts to strike a balance between honoring her expertise and time with varying organizational budgets. We are committed to reviewing each request on a case by case basis and working with you on ideas and alternative resources as needed. Our experience has shown that seeking collaborative co-sponsors to share the costs and responsibilities of an event can be a helpful approach.
All honoraria should be made payable to Freedom Road LLC., through ACH Bank Transfer, and provided to Ms. Harper by the day of the event.
Travel costs covered, booked, and/or reimbursed by the host include:
Business Class Flights with United Airlines (round trip)
Ground Transportation (duration of event)
Hotels (duration of event)
Meals (duration of event)
Books made available to audience members, ordered and sold by host
Companion Travel Expenses (flights, ground transportation, separate hotel room, meals)
Accommodations
Event hosts are responsible for securing separate hotel accommodations for the speaker and companion using direct billing to your organization. For security purposes, hotel accommodations should be on the 3rd floor (or higher) with no outdoor facing exit/entrance to the room.
Accommodations should include a comfortable and quiet room, with kitchenette, high-speed internet capability (enabling Ms. Harper to perform necessary work away from the office and maintain a healthy lifestyle), restaurant, and if possible an exercise facility.
Transportation
Event hosts are responsible for making all flight arrangements for the speaker and companion using direct billing to your organization. Business Class flights through United Airlines are strongly preferred unless unavailable. Refundable flights or flight insurance is HIGHLY recommended so that hosts are not liable if there are any unforeseen changes.
Event hosts are also responsible for arranging a representative to meet the speaker and companion at the airport and take them to the hotel and to and from related events during the stay. Alternatively, the speaker and companion may use a taxi and submit the expense for reimbursement.
Book Sales
Book sales are an important way Ms. Harper’s message can continue to strengthen and edify her audiences beyond her time with them. As host, you agree to purchase and arrange for Ms. Harper’s latest book to be sold at your event. We ask that you arrange for a local bookstore to manage book sales. Alternatively, you may order books directly from the publisher or from an online vendor. In either of these cases, you will need to arrange for volunteers to manage book sales onsite.
Outreach and Publicity
Local outreach is very important for the success of your event. We encourage as many leaders as possible from the local community to participate in the speaking event. This helps to boost outreach efforts. We also ask that our hosts actively and broadly publicize the event. This promotion may include: email blasts, passing out flyers at local gatherings, placing ads or announcements in local newspapers, publicizing the event through social media (Facebook, Twitter, Eventbrite), and spreading the word through personal and community-based blogs. It is always a great idea to include other local organizations and churches in the planning process of your event as co-sponsors. This helps build a diverse audience while also multiplying your audience.

Event hosts agree to help with attendance by contacting area churches, social and civic organizations, the media, colleges, and universities, and the general public. If a media outlet in your area is interested in interviewing Ms. Harper, please have the outlet email us at info@freedomroad.us.
